Privacy policy

This policy explains how BearFace Media, LLC ("BearFace," "we," "us," or "our") handles information through bearface.io and BearFace Ledger, our private QuickBooks Online connector.

BearFace Ledger

BearFace Ledger is internal software used only by BearFace Media. It is not sold to customers, listed as a marketplace product, or made available to anyone outside BearFace Media.

We access QuickBooks Online company data only after an authorized BearFace representative grants access through Intuit's OAuth process, and only for QuickBooks Online companies that BearFace Media owns or operates. Depending on the internal tool using the connection, that data may include company details, accounts, customers, vendors, transactions, invoices, bills, payments, reports, and related accounting records.

BearFace Ledger currently uses this access to let our internal tools read our accounting data. It may write data in the future only if BearFace Media deliberately enables that capability. We use QuickBooks data for our own accounting, reporting, reconciliation, and internal business operations. We do not sell, rent, or use QuickBooks data for advertising.

How data is shared

We do not disclose QuickBooks data to third parties except to service providers that help us securely operate our systems, when necessary to comply with law, or to protect our rights and systems. Intuit processes information under its own terms and privacy practices when you use QuickBooks Online or its authorization screens.

Website information

If you email or call us, we receive the contact information and message you provide and use it to respond and conduct our business. Like most web services, our hosting and security systems may automatically record technical information such as an IP address, browser type, requested page, and timestamp. We use those records to deliver, secure, and maintain the site.

Security and retention

We use reasonable administrative, technical, and physical safeguards designed to protect information. No method of storage or transmission is completely secure. We retain information only as long as reasonably necessary for the purposes described here, to meet accounting and legal obligations, and to resolve disputes. OAuth credentials are restricted to BearFace systems and authorized personnel.

Your choices and revoking access

An authorized BearFace representative can revoke BearFace Ledger's QuickBooks access at any time from QuickBooks Online under Apps → Manage apps → BearFace Ledger → Disconnect. See our disconnect instructions, or contact us at ben@bearface.io or 205.861.7210 and ask us to revoke access.

Changes to this policy

We may update this policy as our practices or legal obligations change. We will post the current version at this URL and update its effective date.
